ClaimVision is a Canadian software company headquartered in Calgary, Alberta. We build AI-powered tools for independent auto body shops across Canada, including QuoteSnap and ShopSupp. Our products are operated by ClaimVision and accessible at claimvision.ca.

From shop owners and estimators (account holders):

• Name, email address, phone number, and business information provided during signup
• Billing information processed through Stripe — ClaimVision does not store credit card numbers directly
• Usage data including features accessed, estimates generated, and supplements created
• Communications with ClaimVision support

From customers submitting QuoteSnap damage quotes:

• Name, email address, and phone number
• Vehicle information including year, make, model, and damage description
• Photos of vehicle damage uploaded through the QuoteSnap intake form
• Rough estimate data generated from those photos

From insurance estimates uploaded to ShopSupp:

• Insurance estimate PDFs uploaded by shop account holders
• Extracted line items, labour times, parts pricing, and repair operations from those PDFs
• Vehicle information, claim numbers, customer names, and insurer names extracted from uploaded documents
• AI-generated supplement analysis and justification drafts

Automatically collected:

• Device type, browser, and operating system
• IP address and approximate location
• Pages visited and features used within the platform
• Error logs and performance data

To provide and operate the service:

• Process damage photos and generate AI-assisted repair estimate drafts through QuoteSnap
• Analyze insurance estimate PDFs and generate supplement documentation through ShopSupp
• Deliver email notifications to shops and customers
• Maintain your account and subscription

To improve our AI models:

We use data submitted through ClaimVision — including damage photos, vehicle information, insurance estimate content, supplement analyses, and repair outcomes — to train, fine-tune, and improve our AI models. This includes using supplement approval and denial outcomes to improve the accuracy of ShopSupp's flagging logic over time.

By using ClaimVision you consent to your submitted data being used for model training and improvement purposes. We do not sell this data to third parties. Data used for training is retained internally and used exclusively to improve ClaimVision products.

If you do not consent to your data being used for model training contact us at isaiah@claimvision.ca to request an opt-out. Note that opting out may limit the accuracy improvements available to your account over time.

To communicate with you:

• Send transaction emails including quote notifications, supplement generation confirmations, and account updates
• Respond to support requests
• Send product updates and feature announcements (you may unsubscribe at any time)

To process billing:

• Manage your subscription through Stripe
• Process payments and handle cancellations

To comply with legal obligations:

• Respond to lawful requests from Canadian regulatory authorities
• Enforce our Terms of Service

We do not sell your personal information.

We share data only in these limited circumstances:

Service providers include but are not limited to:

• Anthropic — AI processing of damage photos and insurance estimate documents
• Stripe — payment processing
• All other service providers are available on request at isaiah@claimvision.ca

All service providers are bound by data processing agreements and are prohibited from using your data for their own purposes.

Legal requirements:

We may disclose information if required by Canadian law, court order, or regulatory authority. We will notify you of any such request where legally permitted to do so.

Business transfers:

If ClaimVision is acquired or merges with another company your data may be transferred as part of that transaction. You will be notified before your data is subject to a different privacy policy.

Your data is stored on servers located in Canada and the United States. We use industry-standard security measures including encryption in transit and at rest, access controls, and regular security reviews.

Insurance estimate PDFs uploaded to ShopSupp are processed and stored securely. Damage photos uploaded through QuoteSnap are stored with restricted access.

We retain your data for as long as your account is active. If you cancel your subscription we retain your data for 90 days before permanent deletion. You may request earlier deletion by contacting isaiah@claimvision.ca.

As a Canadian resident you have the following rights under the Personal Information Protection and Electronic Documents Act (PIPEDA):

Right to access:

You may request a copy of the personal information we hold about you.

Right to correction:

You may request correction of inaccurate or incomplete information.

Right to withdrawal of consent:

You may withdraw consent to our use of your personal information at any time, subject to legal and contractual restrictions. Note that withdrawing consent may affect our ability to provide the service.

Right to opt out of model training:

You may request that your data not be used for AI model training by contacting isaiah@claimvision.ca.

Right to file a complaint:

You may file a complaint with the Office of the Privacy Commissioner of Canada at priv.gc.ca if you believe your privacy rights have been violated.

ClaimVision uses essential cookies to keep you logged in and maintain your session. We do not use advertising cookies or third-party tracking pixels.

We use basic analytics to understand how the product is used. This data is aggregated and not linked to individual users.

ClaimVision is a business-to-business platform intended for use by auto body shop owners and estimators. We do not knowingly collect personal information from anyone under 18 years of age.

Our platform may contain links to third-party websites including parts suppliers and industry resources. We are not responsible for the privacy practices of those sites.

We may update this policy from time to time. We will notify account holders of material changes by email and by posting an updated policy at claimvision.ca/privacy. Continued use of ClaimVision after notice of changes constitutes acceptance of the updated policy.
